• Contractor Information: Name, email address, phone number, and specialty of contractors added by landlords.
• Maintenance Requests: Descriptions of maintenance issues, property addresses, photos (if provided), and urgency level.
• SMS Messages: Text messages sent to and received from our 815-VULKIFY number, including conversation history used to provide AI-powered troubleshooting assistance.
Information Collected Automatically:
• Usage Data: Pages visited, features used, time and date of access, and referring URLs.
• Device Information: Browser type, operating system, IP address, and device identifiers.
• SMS Metadata: Phone numbers, timestamps, and message delivery status associated with text messages sent through the Service.
3. How We Use Your Information
We use the information we collect to:
• Provide, operate, and maintain the Service, including AI-powered troubleshooting via SMS.
• Process maintenance requests and facilitate communication between tenants, property owners, and contractors.
• Send transactional notifications, including maintenance request updates, bid notifications, and onboarding messages via email and SMS.
• Process payments and manage subscriptions through our payment processor, Stripe.
• Improve and personalize the Service, including training and improving our AI troubleshooting assistant.

4. How We Share Your Information
We do not sell your personal information. We may share your information in the following circumstances:
• Between Users of the Service: When a landlord approves a contractor's bid, we share relevant contact information between the tenant and the contractor to facilitate the repair. Landlords can see their tenants' contact information and maintenance request history.
• Service Providers: We use third-party services to operate the platform, including Supabase (database), Vercel (hosting), Stripe (payment processing), Resend (email delivery), Twilio (SMS delivery), and Anthropic (AI processing). These providers only access your data as necessary to perform their services and are bound by their own privacy policies.
• AI Processing: SMS conversations and maintenance request descriptions are processed by Anthropic's Claude AI to provide troubleshooting assistance. Anthropic processes this data in accordance with their privacy policy and data use agreements.
• Legal Requirements: We may disclose your information if required by law, legal process, or government request, or to protect the rights, property, or safety of Vulkify, our users, or the public.
• Business Transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred to the acquiring entity.
5. SMS and Messaging Privacy
When you or your tenants interact with Vulkify via SMS (815-VULKIFY):
• Text messages are stored to maintain conversation context and provide continuous assistance.
• Messages may be processed by AI systems (Anthropic Claude) to generate troubleshooting responses.
• We do not share SMS conversation content with third parties for marketing purposes.
• Standard messaging rates from your carrier may apply.
• You can stop receiving messages at any time by texting STOP to 815-VULKIFY.
• Opting out of SMS will not affect your ability to use the web-based features of the Service.
6. Data Retention
We retain your personal information for as long as your account is active or as needed to provide the Service. Maintenance request records and conversation history are retained for up to 3 years after account closure to support dispute resolution and service improvement. You may request deletion of your data at any time by contacting support@vulkify.com.
7. Data Security
We implement industry-standard security measures to protect your information, including encryption in transit (TLS/SSL), secure database hosting, and access controls. However, no method of transmission over the Internet or electronic storage is 100% secure, and we cannot guarantee absolute security.
